APS4 Building Services Administrator

Reporting to the Building and Security Manager the occupant of this role provides support and administration to the Building and Security Section across a range of key activities including invoicing, site access, data entry and other administration as required. To be successful in this role, the occupant is required to demonstrate sound organisational and communication skills, the ability to handle competing priorities, be proficient in data entry and demonstrate a high degree of accuracy and attention to detail.

Specific Tasks

Under general direction from the Building and Security Manager, the successful applicant will:

  1. Process the building services invoices and assist with tracking expenditure against the budget
  2. Coordinate contractor site access requests ensuring that works do not interrupt internal events or programs
  3. Coordinate the issuing of work orders for maintenance tasks including, ad hoc repairs, capital works and preventative maintenance
  4. Assist with the administration of the Gallery WH&S system Donesafe by managing user levels and creating WHS incident reports
  5. Provide secretariat services for Building Services contract and project meetings as required
  6. Other administrative support for peak workloads may be required.
